Privacy Policy
This Privacy Policy explains how TEEOPS GOLF LLC, a New Hampshire LLC (“TeeOps,” “we,” “us,” or “our”), collects, uses and shares information when you visit this website at teeopsgolf.com (the “Site”) and when you use the TeeOps platform that golf courses and clubs use to take reservations, sell goods and services, and run their operations (the “Platform”).
This Privacy Policy is incorporated into our Terms of Service. By using the Site or the Platform you agree to the practices described here. If you do not agree, please do not use the Site or the Platform.
1. Who We Are and What This Policy Covers
TeeOps provides software to golf courses, country clubs and other golf facilities (each, a “Golf Course”). This policy covers two things: the information we collect on this Site, and the information the Platform collects when you book a tee time, reserve a simulator, join as a member, make a purchase, or work for a Golf Course that uses TeeOps.
Each Golf Course is a separate business. When you book or buy through the Platform, the Golf Course receives your information to run its operation and is responsible for how it uses that information under its own policies.
2. Information We Collect on This Site
2.1 Demo and contact requests. When you request a demo or send us a message, we collect the information you enter: your name, email address, phone number (optional), course name, your role, course type, approximate annual rounds, whether you currently use golf software, and your message. We use it to respond to you, to schedule and prepare for a demo, and to follow up about TeeOps. Your request is delivered to us by email through a third-party email delivery service and is kept in our business email records.
2.2 Information collected automatically. Like most websites, our servers receive standard technical information when you visit, including your IP address, browser type and the pages you request. We use this to operate the Site, to protect our forms against automated abuse (for example, by limiting how many requests a single address can send), and to keep server logs for a limited period for security and troubleshooting.
2.3 Cookies and tracking. This Site does not set cookies, and it does not use analytics or advertising trackers.
2.4 Web fonts. The Site loads its typeface from a third-party font service. When your browser requests the font, that provider receives the standard information your browser sends with any web request, such as your IP address and browser type. We do not send that provider any information you enter on the Site.
3. Information Collected in the TeeOps Platform
3.1 Reservations and purchases. When you book a tee time or simulator session, or buy goods or services from a Golf Course through the Platform, we collect the information needed to complete and confirm the transaction: your name, email address, phone number, the details of your reservation (date, time, number of players, holes, session length and similar details), the items or services purchased, and the amount paid. If you book on behalf of other golfers, we collect the names and, where provided, contact details you enter for them.
3.2 Payments. Card payments are handled by our third-party payment processor. When you pay online or with a card reader, your card details are entered into or read by the processor’s systems, not ours. TeeOps does not store full payment card numbers. If you choose to keep a card on file, or a Golf Course’s policy asks for a card to guarantee a reservation, the processor stores the card securely and TeeOps keeps only a secure reference to it along with limited details such as the card brand and last four digits. If you pay with a digital wallet, the wallet provider’s terms and privacy policy also apply. Refunds are issued to the original payment method through the same processor.
3.3 Members. If you are a member of a Golf Course that uses TeeOps, the Golf Course maintains your membership record on the Platform, which may include your name, contact details, membership category, benefits and expiration date. Members can sign in to a member profile to see upcoming reservations, membership details and a digital member pass, and may choose to keep a card on file. Members sign in using a one-time code sent to them or a device-based sign-in they set up; we keep the information needed to operate that sign-in securely.
3.4 Golf Course staff. Staff of a Golf Course have accounts with a username, role and, where the Golf Course uses it, time clock entries. The Platform records which staff member performed actions such as sales, refunds, check-ins and reservation changes so that the Golf Course can operate and audit its business. If staff use the in-app help assistant, the questions they type are processed by a third-party service to generate an answer.
3.5 Communications. We send transactional emails related to your use of the Platform, such as booking confirmations, receipts, cancellation and refund notices, and member sign-in codes, to the email address you provide. We send marketing email only if you opt in, and you can unsubscribe at any time using the link in those messages.
3.6 Technical information. The Platform receives standard technical information from your device, such as your IP address and browser type, and keeps server logs for a limited period for security, fraud prevention and troubleshooting.
4. How We Use Information
We use the information described above to:
- provide, operate and support the Site and the Platform;
- process reservations, purchases, payments, refunds and membership benefits;
- send confirmations, receipts and other transactional communications;
- respond to your requests and questions, and schedule and deliver demos;
- protect the Site, the Platform, our customers and their golfers from fraud, abuse and security threats;
- comply with legal, tax and accounting obligations and enforce our Terms of Service; and
- understand how the Platform is used, in aggregate, so we can improve it.
5. How We Share Information
5.1 With the Golf Course. The Golf Course you book with, buy from or belong to receives the information connected to your reservation, purchase or membership so it can run its operation. Each Golf Course is responsible for its own use of that information.
5.2 With service providers. We use third-party providers to process payments, deliver email, host our infrastructure and, for the staff help assistant, generate answers to staff questions. These providers act on our behalf and are permitted to use information only to provide their services to us.
5.3 For legal reasons. We may disclose information when required by law, subpoena or other legal process, to enforce our Terms of Service, or to protect the rights, property or safety of TeeOps, our customers or others.
5.4 Business transfers. If TeeOps is involved in a merger, acquisition, financing or sale of assets, information may be transferred as part of that transaction, subject to this Privacy Policy.
5.5 No sale of personal information. We do not sell your personal information, and we do not share it with third parties for their own marketing.
6. How Long We Keep Information
We keep information for as long as needed for the purposes described above. Reservation, purchase and payment records are kept for as long as the Golf Course and TeeOps need them for accounting, tax, refund and dispute purposes. Demo and contact requests are kept in our business email records. Server logs are kept for a limited period and then deleted or overwritten.
7. Security
We use reasonable administrative, technical and physical safeguards designed to protect the information we hold, including encrypted connections to the Site and the Platform and access controls for Golf Course staff. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Your Choices
8.1 Access, correction and deletion. You may contact us at the address in Section 12 to ask what information we hold about you, to correct it, or to ask us to delete it. We will respond within a reasonable time. Some records, such as completed transactions, may need to be retained for accounting, tax or legal reasons even after a deletion request.
8.2 Members. Members can update their contact details and manage their card on file from their member profile, and can ask their Golf Course to update their membership record.
8.3 Marketing email. You can unsubscribe from marketing email at any time using the link in the message. Transactional emails about your reservations and purchases will still be sent.
8.4 Golf Course records. Because each Golf Course controls its own customer and member records, you may also contact the Golf Course directly about information it holds.
9. Children
The Site and the Platform are intended for adults. You must be at least eighteen (18) years old to create an account or complete a reservation. A parent or legal guardian may complete a reservation on behalf of a minor. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it.
10. Third-Party Links and Do Not Track
The Site and the Platform may link to Golf Course websites and other third-party sites. Their privacy practices are their own. The Site does not respond to browser “Do Not Track” signals because it does not track visitors across other sites.
11. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will post the revised policy on the Site and update the Effective Date above. If the changes are material, we will provide notice on the Platform or by email where appropriate.
